We’re looking for a proactive Property Operations Officer with exceptional attention to detail to join our team for a fixed term of up to 12 months. 

This role has a compliance focus and will suit someone who is comfortable with routine and repetitive administrative tasks while also being hands-on with property set-ups and closures.

About the Role

Property Operations is responsible for ensuring that every Allambi Care Placement consistently delivers a high standard of service. The role supports the organisation in meeting and exceeding its legislative obligations relating to the Care Environment.

Main Duties and Responsibilities:

Staff Support

• Engage in regular supervision with Property Operations Manager and identify any areas of support required

Administration

• Logging and allocating of work hours using Jira

• Data processing of information regarding property and assets and maintenance of property and asset registers and databases including House Review checklists
• Assist with the development of relevant agreements, procedures, reports and related documents
• Provide timely and accurate preparation of requisition forms, purchase orders and invoices
• Compile building system information and accurate reports for relevant management requirements
• Monitor and maintain maintenance schedules
• Maintain statutory & regulatory compliance including but not limited to fire safety compliance, property safety inspections
• Provide systems support – database entry and maintenance, scheduling, KPIs & extraction of analytical reports, using predominantly Monday.com
• Identify opportunities to improve services, processes, and systems within the department in order to achieve ‘best practice’ standards

Real Estate Operations

• Communicate in a timely manner pending routine inspections
• Ensure compliance of all Real Estate relevant processes including but not limited to completion of the Care Environment Form.
• Complete the inspection process for all non-Real Estate related properties and report on outcomes
• Research and procure suitable houses to lease and complete leasing process
• Communicate with Real Estates in a timely manner to resolve any issues that arise

Store Operations

• Complete all ‘Store’ related tasks including but not limited to ordering and receiving goods, loaning equipment, cleaning and repairing items
• Accurately maintain systems management tools
• Perform house set ups/ closures and liaise with relevant departments and suppliers to assist with the process
• Organise Youth Workers and Disability Support Workers to assist with Store related tasks
• Maintain the ‘Store’ and its assets in a clean manner and to high standard, ensuring all items are accounted for at all times
• Liaise with external organisations in an appropriate manner. Organisations such as; Tradespeople, Suppliers, Locksmith, Hardware Stores, Manufacturers and any other service providers to Allambi as required

Work, Health & Safety

• Ensure all documentation is always completed and up to date in line with WHS Management System
• Identify WH&S issues and take appropriate steps to ensure rectification in a timely manner
• Wear safety and provided PPE equipment at all times
• Keep up to date on all regulatory and legislative requirements pertaining to industry working in
• Be aware and maintain standards according to manual handling principles and compartmentation

Essential Requirements

• Undertake additional tasks as instructed by Director Organisational Development
• Comply with Department of Community and Justice (DCJ) and other Government bodies legislation.
• Attend meetings when required
• Undertake additional training as required by additional duties
• Work unsupervised and effectively for extended periods of time while managing jobs
• Coordinate and prioritise tasks
• Maintain clean and tidy work environment at all times
• Maintain a professional approach and image at all times when liaising with external organisations and businesses
• Be aware of client behaviours at Allambi houses and ensure discretionary judgment is used when performing tasks on-site
• Maintain cleanliness and condition of any company vehicle when utilised
• Ensure company equipment is maintained to a high standard at all times when utilised

Allambi Care are seeking to appoint a suitably experienced practitioner to the position of Paediatrician to provide specialist medical services to the Allambi Care Clinical Department. About the Role

The Allambi Care Clinical Department are proud to provide a (predominantly) internal service to children and adolescents living in out-of-home care (OOHC) – which is Allambi Care’s major area of work. As such it can be assumed that nearly all of our young people have experienced trauma, and a large proportion of them have experienced severe complex trauma. Thus, you would need to be comfortable working with a cohort who are frequently of low socioeconomic background, with a preponderance of behavioural disorders, together with high rates of FASD, ADHD, and the common list of DSM diagnoses that OOHC children are given.

Allambi Care Clinical Department places a high priority and emphasis on working relationally and behaviourally, thus avoiding or reducing dependence on medications wherever possible. Whilst this is constantly balanced against sometimes more popular treatment approaches that depend on medication-heavy models, it will never be in contradiction of evidence-based best practice.

Providing high-quality care to children, carers, families, and staff accessing the Allambi Care Clinical Department; you will work closely with our psychiatrists and psychologists, as well as all other members of the team. It is also assumed that in time you would be increasingly able to support the operations staff involved with the day-to-day care of the children and adolescents cared for by the Allambi Care organisation.

The key responsibilities include

• Provide specialised medical care for children from birth to early adulthood
• Examine and assess paediatric patients
• Perform or order diagnostic tests
• Diagnose, treat and plan for acute and chronic illnesses and injuries of young people
• Prescribe and monitor medication regimes for young people
• Advise and collaborate with the patients' carers and families to educate them about relevant conditions, and how to minimise the impact on the child's health

Position Objective

Support and role model for direct care staff around the daily implementation of the therapeutic intervention strategies for Children, Young People (CYP) and Participants in alignment with Allambi’s Needs Based Restorative Framework. Manage the day to day operations of the therapeutic care environment and implementation of case plan goals and individual service planning (ISP) goals. Support and coach staff to improve their practice and achieve permanency outcomes for CYP.  

Position Summary

This is a role is a change to our current structure. The aim of this role is to provide consistency to the young people we work with and provide consistent care, in order to create better outcomes. House Managers will be responsible for one house. Which is a maximum of 2-4 clients (1x  4 bed placement, 1 x 3 bed placement, 5 x 2 bed placement). House Managers will do shifts in the house with their staff, with a minimum of one day in office. Shifts will be Monday to Friday with House Managers having priority over one overtime shift on the weekend in their house.

The role of the House Manager is a front-line supervisory role to support and develop staff to drive the day-to-day implementation of the Needs Based Restorative Framework, Permanency Case Plan goals/ ISP goals. The House Manager will directly oversee teams of direct care staff and will work closely with the Therapeutic Specialist to implement therapeutic interventions within the house. House Managers will report to Residential Coordinators. The office day will focus on administration, supporting, training, and mentoring them to create a therapeutic care environment for CYP, as well as development and coaching around staff support. The House Manager will manage the day-to-day operations of the Therapeutic Care environment of one placement.

Professional competencies and skills required

• Experience in working with children and young people with complex and difficult emotional and behavioural issues, within a residential care context.
• An understanding of the impact of trauma on children, and their families.
• Theoretical understandings of attachment and trauma informed care.
• Knowledge of the Children, Youth and Families Act, 2005 and The Commission for children and Young people’s Reportable Conduct Scheme.
• Knowledge of the legal and ethical guidelines governing requirements for mandatory reporting
• Ability to use collaborative practice principles when working with other stakeholders.
• Understanding of screening, intake, transition and exit assessment procedures.
• Ability to manage critical incidents utilising Therapeutic Crisis Intervention (TCI) methods.
• Skills to engage with the family members of the children and young people, work with families, and assist in the maintenance of appropriate family relationships.
• Skills and strategies to manage the safety of children and young people, and staff, through attention to detail, ability to manage risk, and report all concerns or incidents as per Allambi policy and procedure.
• Ability to manage client files in compliance with Allambi policy and procedure, contractual and statutory requirements.
• Ability to maintain a high level of confidentiality regarding the child or young person’s information and that of their family.
• Willingness to work within Allambi Workplace Health and Safety policy and procedure, as well as WHS legislation, and report all hazards and incidents.
• Willingness to implement all Allambi policies and procedures, particularly in relation to maintaining the residential house, all files and other paperwork.
• Demonstrated written and oral communication skills, to complete the Case Plans and other essential reports and forms, in a timely manner.
• Computer literacy.

Key areas of work

• Responsible for the leadership, supervision, support and development of the ITC staff.
• Responsibility for managing team dynamics and addressing low level staff performance issues. A willingness to work with Senior staff and People, Support and Culture to address more significant issues.
• Drive and support the team of Direct Care staff to implement the case plan goals/ ISP goals in the day to day lives of CYP and participants.
• Have an understanding of, and hold staff accountable, around their involvement in achieving the permanency Case Plan goal.
• Reporting of information to assist in the mapping of monthly Outcomes.
• Assist in the development and application of daily routines for each child, young person or participant and provide feedback on any strengths or barriers.
• Supporting CYP and /or their family to engage in specialised therapeutic interventions as stipulated in the Case Plan.
• Attend and contribute to Care Team meetings.
• Organisation and documentation of specialised therapeutic interventions with the child or young person, and/or their family, as stipulated in the Case Plan.
• Ensure direct care staff are working according to the child, young person or participant’s Case Plan/ ISP goals and Positive Response and Intervention Plan. Provide continual feedback around the effectiveness of the plan.
• Participate in reflective practice with a commitment to improving service quality, by supporting direct care staff to utilise reflective practice to allow the growth of the team.
• Mentor the day to day implementation of the Needs Based Restorative Framework by direct care staff.
• Attend and document professional appointments for CYP (legal, health, education, vocation etc.)
• Maintain the safety and quality of the Care Environment.
• Provision of mentoring, feedback and training to direct care staff in order to develop their therapeutic care skills and the implementation of the Needs Based Restorative Framework. Provide feedback to management staff around areas of strength and development for each team member.
• Manage the day to day administrative needs of the house.
• Demonstrate collaborative practice through the ongoing development of relationships with the Care Team members and through maintaining effective communication.
• Liaise with different departments within Allambi to ensure the smooth running of the placements.
• Participate in reflective practice with a commitment to improving service quality, by using reflective practice to allow the growth of the team in relation to practice.
• Ensure administrative alignment with the State regulatory standards (Ten Essential Elements or Victorian Human Service Standards).
• Ensure that DFFH management are updated on incidents that occur with clients and in necessary a CIM’s report completed.
• Ensure all relevant documentation is uploaded to AIMS.
• Ensure all relevant information is entered into AIM’s in a timely manner.

In circumstances where Allambi Care has Contracted Case Management:

• Organise all relevant information about the child or young person and work collaboratively with the Residential Coordinator to form an assessment plan, which may include collecting information from case files and other service providers.
• Collate any information needed prior to and organise aspects of the assessment of the child or young person and their family.
• Collation of information to assist in the weekly/fortnightly/monthly Care Team Meetings.
• Organisation and documentation of specialised therapeutic interventions with the child or young person, and/or their family, as stipulated in the Case Plan.
• Organise, attend and document Care Team Meetings. Be responsible for collating all information that is required for these meetings.

In circumstances where Allambi Care does not have Contracted case management:

• Liaise with the DFFH Case manager for each child or young person and attend Care Team meetings to assist with assessment and information of Care Team goals and the implementation of interventions required.

Minimum requirements (Essential Criteria)

• Relevant qualification required with a future desire to complete a qualification or working towards qualification, in psychology, social work, occupational therapy, psychiatric nursing, Human Services or similar. Proof of qualification is required.
• Willingness to undertake role specific training in frontline management if they do not hold prior qualifications.
• Experience in working with children, young people and participants with complex and difficult emotional and behavioural issues, within a residential care context.
• Skills to engage with the family members of the children, young people and participants, work with families, and assist in the maintenance of appropriate family relationships.

We support adolescents who cannot live with their families and have child protection orders meaning they need to live in out of home care. Your daily tasks can include:

• Building positive relationships with young people and your fellow team members
• Following a routine developed specifically for a young person’s needs
• Transporting young people to and from school, day programs and appointments
• Completing activities and enjoying mealtimes together
• Assist in the implementation of programs designed for growth and development of young people
• Completing summary notes
• Help create a safe and homely environment for them to live in and enjoy.

About you

To be successful in the role you will need to meet the following Essential Criteria:

• Current Working with Children Check (for paid employment)
• Current First Aid Certificate (Provide First Aid; Course Code HLTAID003)
• National Police Check (this must be obtained via https://www.employmentscreeninggroup.com/au/allambi/)
• International Police Check for applicants who have lived continuously for 12 months or more in another country within the last 10 years.
• A current driver’s licence
• Willingness to participate in a Worker/Carer Exclusion Scheme Check
• Current NDIS Worker Check (can be obtained via https://www.service.vic.gov.au/services/national-disability-insurance-scheme)

The following Qualifications are mandatory for this role:

The employee is required to be enrolled in/undertaking or hold, either:

• Certificate IV in Child, Youth and Family Intervention; or
• A recognised relevant qualification (if you are unsure please ask)

In addition, all residential care workers must complete the three mandatory units of competency, being:

• CHCMHS007 – Work effectively in trauma informed care
• CHCCCS009 – Facilitate responsible behaviour
• CHCPRT033 – Provide support to children and youth in out-of-home care
• CHCPRT034 – Work with children and young people with complex trauma and attachment issues and needs

Allambi Care are able to facilitate the applicant obtaining the mandatory units of competency within the first 3 months of employment if they have not been obtained prior to applying through our partnered RTO BIAE (RTO no 45241).
